Session Visibility | Swoogo + Amego
Have sessions that should only be visible to certain groups of people?

In this article, we'll walk you through managing attendee attributes and session visibility between Swoogo and Amego, ensuring the right sessions are shown to the appropriate attendees.

Understanding Visibility Rules

Establish Visibility Rules:

  • The Amego system will compare the tags on attendee records with the tags on session records.
  • Attendees will only see sessions if there is a matching tag between their record and the session.
    • Example: A session tagged with "Partner" will only be visible to attendees who also have the "Partner" tag.

Default Visibility Settings:

Sessions without any visibility tags will be visible to all attendees by default.

Apply tags only to sessions that require restricted access.

Identify and Map Attendee Attributes

  1. Identify Attendee Attributes: 
    • In Swoogo, choose an attribute that distinguishes attendee groups, such as attendee/registrant types or purchased packages.
    • This attribute will serve as the basis for determining session visibility.
    • Tip: Use an attendee attribute that is auto applied so it doesn't have to be updated when a registration is completed.
  2. Map Attendee Attributes to Amego: 
    • Use the selected attendee attribute from Swoogo to create corresponding tags on each attendee's record in Amego.
    • Ensure that this mapping is maintained and updated through the integration between Swoogo and Amego. 

Create and Map a Custom Session Field

  1. Create and Configure a Custom Session Field in Swoogo:
    • Create a custom session field named "Amego Visibility" in Swoogo. (How-To Here)
      • Add checkbox options corresponding to all possible attendee values (e.g., Package 1Package 2Attendee Type AAttendee Type B).
    • At an account level in Swoogo, add the "Amego Visibility" field to Sessions (How-To Here).
    • Next, at the event level in Swoogo (under Event Setup > Sessions), select the appropriate checkboxes for each session that requires restricted visibility, ensuring that only the designated attendee groups have access.
      • You'll see the Amego Visibility field in each session under "Other Details." Example below:
  2. Map Session Attribute to Amego:
    • Map the "Amego Visibility" from Swoogo to create corresponding tags on each session record in Amego.
    • This mapping ensures that session visibility settings are consistently maintained.
