Integrations: Session Visibility | EMS + Amego

Have sessions that should only be visible to certain groups of people?
This guide walks you through managing attendee attributes and session visibility between your EMS (Event Management System) and Amego, ensuring the right sessions are shown to the appropriate attendees.

Understanding Visibility Rules

Establish Visibility Rules:

  • The Amego system will compare the tags on attendee records with the tags on session records.
  • Attendees will only see sessions if there is a matching tag between their record and the session.
  • Example: A session tagged with "Partner" will only be visible to attendees who also have the "Partner" tag.

Default Visibility Settings:

  • Sessions without any visibility tags will be visible to all attendees by default.
  • Apply tags only to sessions that require restricted access.

Identify and Map Attendee Attributes

Identify Attendee Attributes:
In your EMS, choose an attribute that distinguishes attendee groups — such as registrant types, ticket levels, or purchased packages.
This attribute will serve as the basis for determining session visibility.
Tip: Use an attendee attribute that is applied automatically during registration so it doesn’t need to be manually updated.

Map Attendee Attributes to Amego:
Use the selected attendee attribute from your EMS to create corresponding tags on each attendee’s record in Amego.
Ensure this mapping is maintained and updated through your integration with Amego.
If needed, provide the relevant custom field ID or field name to the Amego support team — we can assist with the mapping process.

Create and Map a Custom Session Field

Create and Configure a Custom Session Field in Your EMS:

  • Set up a custom session field labeled something like "Amego Visibility."
  • Add checkbox options for each attendee group that should have restricted access (e.g., Sponsor, VIP, Track A).
  • Assign the appropriate visibility checkboxes to each session based on which groups should see them.

Map Session Attributes to Amego:

  • Use the custom session field to generate corresponding tags on each session record in Amego.
  • Provide the custom field ID or field name to the Amego support team — we’ll help ensure the mapping is configured correctly.

This setup ensures that session visibility is dynamically controlled and consistently enforced across your EMS and the Amego mobile app.
