The week before an event is the wrong time to discover a setting you meant to change three months ago. Run through this list a few days out, and again the morning of, so your app is actually ready for the people using it in the building.
- Confirm your event dates and time zone in Settings are correct — a wrong time zone quietly breaks every session start time in the agenda.
- Walk through check-in: scan a real badge (or a test one) end to end and make sure the attendee record it pulls up matches what you expect.
- Spot-check your sessions, speakers, and sponsors for anything that synced incorrectly from your EMS in the last few days — last-minute registration changes are the most common source of stale data.
- Test your Wi-Fi assumptions. If your venue's connectivity is unreliable, confirm which features attendees can still use offline and let your onsite team know what to expect.
- Push a test notification to a small internal group first, not your full attendee list, to confirm the message reads the way you intended.
- Make sure whoever is staffing registration or the help desk has the app installed on their own device and knows how to answer the three questions attendees always ask: how do I log in, where's the agenda, and how do I find my badge.
- Confirm your support contact information in the app is current — attendees will use it before they ask a staff member.
None of this replaces a real test pass earlier in your build, but it catches the small things that drift between your last review and opening day. Keep this list somewhere your onsite team can reference it without needing to track you down.
